Excel or Custom Developed System – Scalability
When a checkered notebook is no longer enough...
Scalability is a fundamental aspect of business life. Primarily for growth and development. As the volume and complexity of a business's data increases, it becomes essential that the systems used are able to handle this expansion without reducing performance or degrading the user experience. Excel and custom-developed software offer different solutions to the issue of scalability, each with its own advantages and disadvantages.
Excel: Ideal for smaller-scale tasks, but limited for larger data sets
Excel is an excellent tool for smaller-scale tasks where the volume and complexity of data do not require a large infrastructure. In addition, its cost-effectiveness is attractive, as there is no need to spend on specialized software or IT infrastructure.

Problems arise when the system starts to operate with too large data sets or in a multi-user environment. Performance issues such as slow data processing and system overload can become increasingly common. When handling larger amounts of data and implementing complex workflows, Excel does not provide sufficient flexibility and cannot scale properly as the company grows. Furthermore, manually managing and updating data can also be problematic, especially in the long term.
Custom development: Scalability and customization, but with higher resource requirements
The great advantage of custom software is that it is backed by robust data management systems and databases that can flexibly adapt to growing data sets and more complex user needs. Since the system can be tailored to the specific needs of the company, custom development provides the opportunity to take scalability into account already in the design phase, so that future growth can occur smoothly. Such systems are able to efficiently handle large amounts of data, while also continuously ensuring the user experience, as the functionality can be easily expanded and developed.

The disadvantages include that the preparation and implementation of custom development can be more expensive, as planning and building the scalability of the system is time-consuming and resource-intensive. However, if we also consider the long-term growth of the company and the amount of data, custom development offers a much more sustainable solution, as it adapts better to changing needs in the long term.
Summary:
While Excel is great for smaller tasks and low-budget solutions, it quickly becomes limited for larger data sets and more complex user scenarios. Custom software is more flexible and scalable to handle growing needs, but the higher initial costs and implementation time require attention. Based on your company’s growth plans and long-term strategy, it is worth considering which solution provides the best scalability and the greatest value in the future.
